White-Label Accounting Services

White-label accounting means the work is ours and the brand is yours. Finalert prepares the books, the reconciliations and the reporting. Every file that reaches your client carries your firm's name and nobody else's.

Overview

Firms reach the same point from different directions. A CPA practice wins compliance work it cannot staff through busy season. A bookkeeping firm lands a client three times the size of its usual engagement. An advisory agency needs accurate books underneath the work it actually sells. In each case the choice is to turn work away, hire against uncertain demand, or put a partner behind the brand.

It is built for CPA firms, bookkeeping practices and advisory agencies that have more accounting work than capacity, and that do not want to introduce a third party into a client relationship they have spent years building.

A white-label arrangement is the third option done properly. We operate as your production capacity: your engagement letters, your chart of accounts, your templates, your client-facing schedule. Confidentiality is signed before we see a client name, deliverables carry no Finalert marks, and service levels are agreed in writing rather than assumed.

Finalert delivers accounting work that firms resell under their own brand. Your clients deal with you throughout. We sit behind your practice, produce the work to your standards, and hand it over brand neutral so you can put your letterhead on it and send it. The arrangement is explicit about who is who: you hold the engagement letter and the client relationship, and we hold a written services agreement with your firm covering confidentiality and, where you want it, non-solicitation. Our staff do not contact your clients, are not introduced to them, and do not appear on anything you send.

What brand neutral means in practice

Brand neutral is a production standard, not a promise. Deliverables are produced in your templates with your fonts, logo and formatting, and file naming follows your convention. Working papers and schedules carry no Finalert branding, footers or metadata. Where a document is produced from an accounting platform, it is generated inside your client's own instance so the output is native to their system.

Communication runs through you by default. If you want us in a shared channel with your team, we work in yours rather than inviting your staff into ours. Where a firm does want us client facing for a specific task, that is agreed case by case, in writing, and it is the exception rather than the arrangement.

Service levels and scale

We agree turnaround times per deliverable type before any work starts: transaction processing, reconciliations, month-end close, reporting packs, and cleanup or catch-up projects each get their own committed window. Those commitments are written into the services agreement along with review steps, the escalation path, and how exceptions and late client data are handled, so a missed date is a defined event rather than a disagreement.

Scale is the reason most firms come to us, so capacity is handled as part of the agreement rather than as a favor. We size the team to your steady-state volume, agree a lead time for adding to it, and plan busy season with you ahead of it instead of during it. If your volume falls, we resize on the notice period we agreed.

Two limits are worth stating plainly. We do not sign or file returns, issue audit or attest opinions, or take on the accountant-of-record role: those belong to your licensed firm and its professionals. And we do not take a position on accounting policy for your clients. We prepare, reconcile and document the work; your firm reviews it, approves it, and remains responsible for what it signs.

What you get

What the engagement covers.

8 items

  • Brand-neutral deliverables

Statements, working papers and schedules produced in your templates, with your naming convention, and no Finalert marks, footers or metadata anywhere in the file.

  • Bookkeeping and transaction processing

Coding, categorization, bill entry, invoicing and payroll journals handled at volume on each client's own platform and chart of accounts.

  • Reconciliations and month-end close

Bank, card, payroll, intercompany and balance-sheet reconciliations with supporting schedules, worked to a close checklist your firm has approved.

  • Client reporting packs

Monthly and quarterly reporting produced in your firm's format, ready for your review and signature without reformatting.

  • Cleanup and catch-up projects

Historical corrections, opening-balance work and chart-of-accounts rebuilds for clients whose records are not usable, delivered as a defined project with a scope and an end date.

  • Written service levels

Turnaround windows agreed per deliverable type, with review steps, escalation path and how late client data is handled, all recorded in the services agreement.

  • Confidentiality and non-solicitation

Signed before we see a client name. Our staff do not contact your clients, and client data is held per engagement with access granted only to the people working on it.

  • Capacity for busy season

The team is sized to your steady-state volume with an agreed lead time to add to it, and busy season is planned with you ahead of it rather than during it.

How it runs

How the work runs.

The agreement is set up once at firm level, then each client you place with us follows the same short path. Here is how the work runs, step by step.

  1. 01

    Confidentiality first

Mutual confidentiality and, where you want it, non-solicitation are signed before any client name, file or system is shared with us.

  2. 02

    Scope and service levels

We agree which deliverable types are in scope, the turnaround window for each, the review steps, the escalation path and how late client data is handled.

  3. 03

    Brand and template setup

Your templates, logo, fonts, file naming and working-paper format are loaded into our production checklist so brand neutrality is a step in the process, not an afterthought.

  4. 04

    Pilot engagement

We run one client end to end before volume moves. You review the output as if it were internal work and mark up anything that does not match your standard.

  5. 05

    Per-client onboarding

Each client you place gets least-privilege access, a records review, a cleanup scope if needed, and a runbook covering accounts, approvals, close date and reporting format.

  6. 06

    Production and internal review

Work is prepared, then checked against the close checklist and the brand-neutrality checklist by a reviewer who did not prepare it, before anything is sent to you.

  7. 07

    Handover to your firm

Deliverables arrive in your format with a note on what moved, what is unusual and what is outstanding, so your reviewer can approve without reconstructing the work.

  8. 08

    Exception handling

If client data is late or a date is at risk, you are told before the deadline, with the revised date and what is needed to hold it. Escalation follows the agreed path.

  9. 09

    Capacity and quality review

On a regular cycle we review turnaround against the agreed service levels, the error log, and your volume forecast, and adjust the team size accordingly.

Our approach

How we approach it.

A white-label arrangement lives or dies on discipline: what carries your name, what we never touch, and what happens when a date is at risk. These are the commitments we work to.

An office window overlooking a downtown skyline

Six commitments shape how service runs here.

Your brand on everything client facing

Every deliverable is produced in your templates and checked for stray branding before it leaves us. Your client sees your firm's work, start to finish.

No contact with your clients

Confidentiality and non-solicitation are signed before we see a client name. Our staff are not introduced to your clients and do not appear on anything you send.

Service levels in writing

Turnaround is committed per deliverable type, not described in general terms, and the escalation path is agreed before the first file rather than after the first problem.

Your standards, not ours

We adopt your chart of accounts, your close checklist, your working-paper format and your review points. Where you have no standard, we propose one and you own it.

Segregated client data

Each of your clients is a separate engagement with its own access list. Nobody working on one client's books can see another's.

Responsibility stays with your firm

We do not sign, file, opine or set policy. Your licensed professionals review and approve the work, and we design the handover so that review is straightforward.

Questions

Common questions.

The questions CPA firms and agencies ask before putting another firm behind their brand.

Will my clients know Finalert is involved?

Not unless you tell them. Deliverables are produced in your templates and carry no Finalert branding, footers or metadata, our staff do not contact your clients, and communication runs through your firm by default. Whether to disclose a subcontractor is your firm's decision and your professional obligation, and we support either choice.

What protects us from you approaching our clients?

A signed agreement, put in place before we see a client name. It covers confidentiality and, where you want it, non-solicitation. Beyond the paperwork, our staff are not introduced to your clients and do not appear on client-facing material.

What service levels do you commit to?

Turnaround is agreed per deliverable type before work starts, so transaction processing, reconciliations, month-end close, reporting packs and cleanup projects each have their own committed window. Review steps, the escalation path and how late client data is handled are written into the same agreement.

Can you handle a busy-season spike?

That is the usual reason firms engage us. We size the team to your steady-state volume, agree a lead time for adding capacity, and plan the spike with you ahead of it. If your volume drops, we resize on the notice period in the agreement.

Do you work in our systems or yours?

Yours, and your clients'. The team signs in to each client's accounting platform, document store and banking portals under named, least-privilege credentials with multi-factor authentication. Documents are generated inside the client's own instance so the output is native to their system.

Who is responsible for the work that goes out?

Your firm. We prepare, reconcile and document, and our reviewer checks the work before handover, but we do not sign or file returns, issue audit or attest opinions, act as accountant of record, or set accounting policy. Your licensed professionals review, approve and remain responsible for what they sign.
