Dedicated Offshore Accounting Teams
A dedicated offshore accounting team is staff who work only on your books. You get named people, a written scope, and oversight from the United States. A Finalert reviewer signs off before anything reaches your ledger.

Overview
Most U.S. finance teams do not stall because nobody can do the work. They stall because the work outgrew the people available to do it, and hiring locally for transactional accounting is slow and costly.
Finalert recruits, trains and manages the team. You keep the process, the approval rights and the reporting calendar. We take on the hiring, the cover when someone is out, and the access controls that keep your records where they belong.
A dedicated team sits between a staffing agency and a service bureau. The people are yours in practice: the same names every month, your chart of accounts, your close calendar, reporting into your controller. They are ours on paper, so recruitment, payroll, training, cover and employment compliance stay our problem rather than yours.
Finalert builds dedicated offshore accounting teams for U.S. companies. A dedicated team means the same accountants handle your books every month, follow a process you have approved, and report into your finance leadership: not a ticket queue, and not a pool of interchangeable preparers. The model suits companies that have outgrown one bookkeeper but are not ready to add three or four full-time hires in the United States, and you scope it by role rather than by task list. A staff accountant covers daily transactions, a senior owns reconciliations and close, and a team lead owns the calendar and the review notes.
How a dedicated team differs from outsourcing
A traditional outsourcing arrangement sends work out and sends deliverables back. A dedicated team works inside your systems. They sign in to your accounting platform under their own named users, follow your chart of accounts, and join your close meetings. Your controller assigns the work and can see who did it.
Every team runs under U.S. oversight. A Finalert reviewer in our Cleveland or New York office checks the close package and the reconciliations before they reach you. Anything that needs a judgment call goes to that reviewer first, not to your inbox at three in the morning.
Coverage, controls and data security
Time-zone coverage is part of the point. The team works ahead of your business day and clears the overnight queue, so bank feeds are categorized, invoices are entered and exceptions are flagged by the time your office opens. A daily overlap window with U.S. hours keeps live questions and approvals moving.
Access is least-privilege by default. Each person gets named credentials scoped to the systems the role actually uses, with multi-factor authentication, reviewed on a schedule and revoked the day someone rolls off. We work inside your accounting platform and your document store rather than copying your ledger into a system of ours, so your records and your audit trail stay intact.
There are limits, and we state them up front. We do not sign tax filings, issue audit or attest opinions, or act as your accountant of record, and we do not set accounting policy on revenue recognition, capitalization or reserves. The team prepares the work, documents it, and brings it to your controller or your CPA for approval.
What you get
What the engagement covers.
8 items
-
Team scoped by role
We size the team around the roles the work actually needs, from staff accountant through senior to team lead. You approve the roles and the hours before anyone is recruited.
-
Named staff and a written handbook
You get the same people each month, with names, working hours and responsibilities recorded in a handbook your team can read. Cover for leave is named in advance rather than improvised.
-
Daily transaction processing
Bank and card feeds, accounts payable entry, invoicing, expense coding and payroll journals handled on your schedule. The overnight queue is cleared before your office opens.
-
Reconciliations and month-end close
Bank, card, intercompany and balance-sheet reconciliations prepared with supporting schedules, then worked through a dated close checklist your controller signs off.
-
U.S. review and sign-off
A Finalert reviewer in the United States checks the close package and the reconciliations before they reach you, and owns any judgment call the team should not make alone.
-
Reporting pack on a fixed calendar
Monthly statements, a variance summary and the supporting schedules delivered on agreed dates rather than whenever the work happens to finish.
-
Documented process and controls
We write down how each task runs, who approves it and what evidence is retained, so the process survives a change of staff on either side of the engagement.
-
Access management and data security
Named, least-privilege logins with multi-factor authentication, reviewed on a schedule and revoked the day a team member rolls off. We work in your systems rather than copying data into ours.
How it runs
How the work runs.
We stand the team up in stages, and no task moves across until it has run alongside your current process for a full cycle. Here is how the work runs, step by step.
-
01
Scope and role design
We map the work you want covered, then propose the roles and hours to cover it. You see the shape and cost of the team before anyone is recruited.
-
02
Recruit and vet
We source candidates against that scope, test them on real accounting tasks and run background checks. You interview the shortlist and approve every hire.
-
03
Systems access and security setup
Named logins are created in your accounting platform, document store and banking portals at the access level each role needs, with multi-factor authentication turned on.
-
04
Process documentation
Before go-live we write the runbook: task list, timing, approval points, escalation path and the evidence retained for each close.
-
05
Shadow cycle
The team runs alongside your current process for one full cycle. Output is compared line by line and the runbook is corrected wherever reality differs from the plan.
-
06
Cutover
The team takes the work on an agreed date. Your controller keeps approval rights and the U.S. reviewer signs off on the first two closes end to end.
-
07
Daily run and overlap window
The team clears the overnight queue before your business hours, then holds a live overlap window each day for questions, approvals and exceptions.
-
08
Monthly close and review
Reconciliations, schedules and the reporting pack are prepared against a dated checklist, reviewed in the United States, then delivered to you.
-
09
Quarterly service review
Each quarter we go through volumes, turnaround, the error log and open items with you, and resize the team if the work has changed shape.
Our approach
How we approach it.
A dedicated team only works if it is run like part of your finance function rather than a vendor kept at arm's length. These are the rules we hold ourselves to on every engagement.
These are the rules we hold ourselves to on every engagement.
- Your process, written down
We adopt your chart of accounts, your approval thresholds and your close calendar, then document them. Nothing important is left living in one person's head.
- U.S. oversight on every close
A reviewer based in our Cleveland or New York office signs off before work reaches your ledger, and judgment calls come to that reviewer before they come to you.
- Named people, not a pool
You know who does your work. Staff changes are proposed and agreed rather than announced after the fact, and every role has a named backup.
- Least-privilege access
Each person holds only the systems and permissions the role needs. Access is reviewed on a schedule and revoked the day someone leaves the engagement.
- Sized to the work, openly
When volumes move we propose a resize rather than absorbing overtime quietly. You see the hours and what they were spent on.
- Clear limits on what we sign
We prepare and document. We do not sign filings, issue opinions or set accounting policy. Those stay with your controller and your CPA, and we say so before we start.

Common questions.
Questions U.S. finance leaders ask before they commit to a dedicated offshore team.
How is a dedicated team different from outsourced bookkeeping?
Outsourced bookkeeping sends work out and returns deliverables. A dedicated team works inside your systems, on your close calendar, with named people your controller assigns work to and reviews. You get the continuity and the visibility that a shared service queue cannot give you.
Do I interview the people on my team?
Yes. We source and test candidates against the scope you approved, then you interview the shortlist. Nobody joins your team without your sign-off, and the same applies to any replacement later on.
What hours does the team work?
The team works ahead of your business day so the overnight queue is cleared before your office opens, and holds a daily overlap window with U.S. hours for live questions and approvals. Our Cleveland and New York offices are open Monday to Friday, 8am to 5pm.
Where does my data live?
In your systems. The team signs in to your accounting platform, your document store and your banking portals under named credentials with multi-factor authentication, at the least access each role needs. We do not copy your ledger into a system of ours.
Can I start with one role and add more later?
Yes. Most engagements start with one or two roles covering transactional work and close support, then add a senior or a team lead as volumes grow. We review scope with you each quarter and propose a resize rather than absorbing extra hours without telling you.
What is not included?
We do not sign tax filings, issue audit or attest opinions, or act as your accountant of record, and we do not set accounting policy. The team prepares the work, documents it, and hands it to your controller or your CPA for approval.
